Accessing ChemManager+
ChemManager+ integrates with the university’s cloud-based purchasing and payables platform, ShopUW+. Beginning July 7th, 2025, ShopUW+ is being integrated with Workday. Accessing ChemManager+ after July 7th will be through Workday.
All employees will have access to Workday, and all employees will have access to ChemManager+. To fully utilize the functionality of ChemManager+, users must request a security role that corresponds to their inventory duties in the lab. See below for a description of the available security roles. To request a role, click on the button to the right.
Non-employees with a legitimate need may be able to get access to the inventory functionality of ChemManager+ but not the purchasing functionality. Research groups with non-employee researchers or teaching laboratories with students can utilize a group account for personnel to access safety and inventory information. ChemManager+ Roles
All employees with Workday access can access the ChemManager+ tile in Workday. Employee status provides baseline shopping access within ChemManager+. Note, however, that more advanced roles are necessary for viewing and managing chemical inventories.
This is the baseline role for all users in ChemManager+ with permissions to perform the tasks below.
- Search suppliers
- Submit carts of chemicals to Workday for ordering
- Receive orders
- Chemical Structure search
- View material profiles
Lab Member
This role is intended for a researcher or for use in labs that intend to regularly track chemical containers.
In addition to baseline role, this role has permission to:
- Search Lab inventory
- Dispose of containers
- Create and edit lab materials and containers.
- Modify and transfer containers.
Lab Manager Role
This role is designed for a lab manager who runs the day-to-day operations in the laboratory. This role is intended for PI or Lab Director to delegate most lab operations to suitable lab staff.
In addition to the Lab Member permissions, this role has permission to:
- Perform reconciliation of lab inventory
- View and run inventory and safety related reports
- Create and modify sub-locations to meet lab needs
- Manage Project association for laboratory inventory
PI Role
This role is for the Principal Investigator, or Laboratory Director, in charge of a given laboratory space(s). The PI role is necessary if a lab utilizes inventory projects, as a PI must be associated with each project. In addition to the Lab Member permission this role has permission to;
- Perform reconciliation of lab inventory
- View and run inventory and safety related reports
- Create and edit lab materials and containers
- Create and modify sub-locations to meet lab needs
- Manage Project and PI association for laboratory inventory
Receiving Role
The receiving role is designed for users whose primary duty is to perform the receiving task. It is also used to provide a user access to receive chemicals ordered by multiple personnel in multiple laboratories.
In addition to the Lab Member permissions this role has permission to;
- Perform receiving tasks for all ChemManager+ orders at the user’s assigned campus
Stockroom Manager
Responsible for setting up, managing, and oversight of a stockroom configured in ChemManager+.
Stockroom User
Stockroom user is responsible for completing day-to-day tasks associated with working in a stockroom configured inside of ChemManager+.
EHS User*
This role is intended for EHS/Safety personnel that have safety, compliance, environmental reporting, and/or chemical inventory responsibilities at their campus. This role may also be used by designated personnel that are involved in maintaining the chemical data that is housed inside of ChemManager+. In addition to the PI role, users have permission to:
- View and modify system-wide chemical inventory.
- Edit all materials
- View ChemManager users
- Manage PIs and Projects
- Run all inventory and safety reports
- Process Chemwatch match exceptions
- Access data loaders for bulk chemical uploads
*All users requesting this role must be approved by ShopUW+ Governance.
EHS Manager*
The EHS Manager role serves as a functional administrator of ChemManager+. This role is used to provide oversight of the inventory data, chemical infrastructure, and to provide subject matter expertise to assist the System Administrators in maintaining the platform. This is a high privilege role, and users must be committed to the platform by being active in the ChemManager+ Core team and/or ChemManager+ Working group.
